Leave Request Procedure for Staff

Overview

This procedure outlines how to properly request time off, including planned leave, vacation, and unexpected absences. Following this process ensures adequate coverage, proper planning, and accurate tracking of time away.

 

Standard Leave & Vacation Requests

  • Submit all leave and vacation requests at least 10 calendar days in advance.

  • Use the official Leave Request Form to submit your request.

  • Your supervisor will review your request. If approved, HR will finalize and file the request.

 

Unexpected Absences

  • If you are out unexpectedly (e.g., illness or emergency), submit a leave request on the day you return to work.

  • Use the same Leave Request Form and include any relevant details in the notes section.

  • Your request will be reviewed retroactively and processed accordingly.

 

Extended Leave Requests (More than 2 Weeks)

  • Leave requests longer than 10 consecutive workdays or two calendar weeks require review by both your manager and HR.

  • Submit these as early as possible to allow time for additional review and coordination.

  • HR may reach out for further clarification or documentation as needed.

  • Once approved, you will receive an official confirmation email and HR will notify the relevant personnel and your manager.

 

What Happens After You Submit

  1. Supervisor reviews your request:

    • If approved, the request continues to HR.

    • If denied, you will be notified with next steps or clarification.

  2. If leave is longer than two weeks, HR will conduct an extended review.

  3. If approved by HR, your request will be filed, and confirmation sent.

  4. Your manager and Personnel will be notified automatically for scheduling purposes.

Confirmation

Further updates (approval or denial) will be sent after review.
